Executive Assistant

Los Angeles, California

Position Description:

The executive assistant provides basic and high-level administrative support covering a wide variety of administrative tasks to a Portfolio Management team, and a team of senior business operations managers including finance, operations, legal, human resources and IT.

Job Responsibilities:

Completes a broad variety of administrative tasks for a primary team of executives that may include:

  1. Schedules and coordinates a variety of internal and external meetings, conference calls, or company events including meeting requests, meeting room reservations, distributing call-in phone numbers, tracking RSVPs, providing clear communications to attendees, ordering food/catering, making restaurant reservations, receiving visitors, preparing and distributing meeting notes etc. Assists with proactively managing outlook calendars and appointment schedules including anticipating what is needed for meetings, conferences, and teleconferences. May also assist with attending meetings for the purpose of recording and distributing meeting minutes, and in coordinating the meeting agendas.
  2. Maintains schedule and handles coordination for internal Committee Meetings including the Mutual Fund Board of Directors quarterly meetings. Prepares and distributes agendas, takes minutes, ensures all minutes are finalized, approved, and electronically stored.
  3. Composes, prepares or reviews external and internal correspondence, reports and materials that may include sensitive and/or confidential information and analyses.
  4. Files, retrieves, maintains, and effectively organizes documents, records, reports and correspondence both in paper and electronic formats including scanning documents to network files based on appropriate category
  5. Handles information requests and coordinates special projects that may have firm impact and the need coordinate across multiple departments requiring research, prioritization, and follow up on incoming issues and determining appropriate course of action, referral or response.
  6. Schedules, coordinates and assists with planning business travel arrangements and completes travel and business activity expense reports with proper receipt documentation for submission.
  7. Completes other general office or light/basic administrative activities for primary executive team and secondary team of business operations senior managers that may include: Building security clearance and parking validations for visitors; copying, scanning, faxing; coordinating signatures; regulatory and other corporate filings; ordering supplies; preparing FedEx/certified mail or packages; distributing mail and other correspondence as needed.


Position Requirements:

  • Excellent organizational and time management skills with the ability to prioritize and manage multiple tasks, projects and requests from a variety of sources with varying priorities and deadlines.
  • Demonstrates strong critical thinking, and problem solving skills and approach to challenges and projects with meticulous attention to detail.
  • High level of integrity with ability to exercise good judgment and discretion in a variety of situations including sensitive or confidential matters.
  • Quicker learner and a self-starter, who can work independently, take initiative, and employ a proactive approach to work including appropriate follow-through and the ability to think ahead and “connect the dots”.
  • Strong verbal and written communications skills, including proof-reading and editing skills, with the ability to develop and maintain good working relationships, and the ability to foster cooperation, but also professionally assertive, when necessary, to complete tasks. Must have good interpersonal skills and be able to facilitate effective communication between groups, and demonstrate leadership to maintain credibility, trust, and support with senior management, partners and investment teams.
  • Strong working knowledge of Microsoft Office applications including Word, Excel, Outlook, Powerpoint, and Adobe Acrobat DC. Comfortable in learning/utilizing new tools/technologies with an interest in automation.
  • Flexible, adaptable, resourceful and welcomes a collaborative approach to tasks.
  • Bachelor’s degree preferred as well as 5-7 years prior experience in executive support role in a professional services work environment.
  • Prior experience with an investment management firm a plus.
